Operations Manager |Part-Time Position Description

(This is a six-month term, with an opportunity to continue.)

POSITION SUMMARY

The Operations Manager works closely with the Executive Director on accounting, record keeping, program planning, donor relations and grant applications.  The ideal candidate would have administrative experience in an arts charity and knowledge of Indigenous culture, traditions and current issues relating to Indigenous communities. We seek applications that reflect diversity including ethnicity, culture, disability, economic, sexual orientation and gender identity.  Experience with Microsoft Word and Excel would be an asset.

Our programs are a canvas for youth and a model for co-creation under Truth and Reconciliation, Call to Action #83.

OUR MISSION IS ART DIPLOMACY. We co-create safe spaces and creative stages where Indigenous youth can thrive. Through art-based programming, we open pathways of opportunity for First Nations, Métis, Innu and Inuit youth to access creativity and express themselves in healthy ways. In doing so, we aim to create empathy and inspire actions that serve their rights, interests and futures.

WE LISTEN ACTIVELY, ALWAYS. We respond to the unique needs of each community with workshops and tools to bring art-based programs to life including music, visual, recording and performance art.

Due to the legacy of colonialism and with so many isolated communities lacking basic human needs, they serve an even deeper purpose as safe spaces for Indigenous youth to access support and collaborate with artists, educators, mentors and each other.

 

Operations Manager Job Description

General responsibilities:

1)    Board Relations: Work with the Executive Director to ensure efficient and effective interactions with the Board of Directors.

2)    Financial Performance and Viability:  Work with the Executive Director to develop sufficient resources to ensure the financial health of the organization.

3)    Organization Mission and Strategy: Work with the Executive Director and staff to ensure that the mission defined by the Board is fulfilled through programs, strategic planning and community outreach.

4)    Organization Operations: Work with the Executive Director to and implement appropriate resources to ensure that the operations of the organization are appropriate.

 

Actual Job Responsibilities:

1)    See that the ED is fully informed on all things concerning the organization.

2)     Finance 

●      Collect invoices and submit them to the Accountant for payment

●      Work with the Accountant to review/provide explanations/rectify discrepancies

●      Collect all supporting receipts and invoices for credit card statements and bank statements

●      Oversee Trip Expenses, Artist Honorariums and Per Diems

●      Cheque Banking and Tax Receipting

3.  Budgeting

●      Yearly Budget and Cash Flow Projects with the ED and accountant

●      Strategize Funding Allocation with the ED

●      Donor Relations – Thank you correspondence

●      CanadaHelps

4.  Funding

●      Grant, Funding Research, Submission and Reports with the ED

●      Participate in Funding Webinars

5.  Other

●      Database Management

●      Write up the minutes/actions

●      Update documents when needed

●      Weekly meeting with the ED

●      Check mailbox on a regular basis

●      Assist in instrument inventory and correspondence with donors when needed.

Knowledge, Skills & Experience: 

●      Exceptional Interpersonal skills

●      Excellent communication skills both oral and written

●      Knowledge and experience with Microsoft Word and Excel, database management, Google sheets and docs

●      Strong time management skills

●      A detail-oriented person

●      Ability to manage multiple responsibilities and tasks simultaneously

●      Knowledge and experience with budget preparation

●      Strong analytical and critical thinking skills

●      Able to work independently while also recognizing when to seek advice as circumstances change

Requirements: 2 – 3 years of work experience in administration duties.

Salary: $25 per hour at 20 hours per week

Arrangements: This position is remote/working from home except for picking up the mail at our downtown Toronto virtual office, initial training days in downtown Toronto and the occasional in-person Board Meetings.
